What your monthly payment covers

What hosting covers

  • Email on your own domain
  • Storage space for your files
  • Daily backups you can restore from
  • Security patches and the SSL padlock
  • Updates so it does not go stale
  • Support on WhatsApp when you need us

Why it is two numbers

Think of it like a car. The first number is the instalment that buys the software, and it stops the day it is paid off. The second is hosting, which is the fuel and the service plan that keeps it running online, and that one carries on.

Our ceiling on the finance

Nothing added on top. R5 Systems is not a registered VAT vendor, so the price you see is the price you pay. Ask us anything on WhatsApp

How it works, in three moves

No jargon, no surprises, and nothing you have to sign before you see a number.

  1. 1

    We build it

Two to twelve weeks depending on what it is. You see it working before you pay a monthly, and nothing starts until you are happy with it.

  2. 2

    You pay monthly

Two lines on one debit order. The first pays off the software and stops the month it is settled. The second is hosting, which covers the domain, your email, storage, backups, security and support, and carries on. No separate hosting bill arriving from somewhere else.

  3. 3

    Then it is yours

On the last payment the code, the database and the copyright transfer to you in writing. Your bill drops to just the running costs and stays there.

Which one do you need?

All four work properly on a phone, so that is not what you are choosing between. The difference is what the person on the other end actually does.

They read it

Website

It tells people who you are and gets them to phone you.

Nothing changes hands on it. Someone searches for what you do, lands on your pages, decides you look legitimate, and then calls or WhatsApps you. Nobody logs in, nothing gets saved.

Right for

A plumber in Boksburg, an electrician issuing COCs, a panel beater, a conveyancing attorney, a guest house in Clarens, a creche, a driving school.

They buy on it

Online shop

It takes the money while you are asleep.

You pack the box in the morning and send it. Everything a website does, plus a till, a running stock count, delivery rules per area, customer accounts and a proper VAT invoice on every order.

Right for

A biltong maker couriering countrywide, a rusk and spice bakery, a nursery, a Stellenbosch wine farm, a boutique in Parkhurst, a PPE supplier, a farm stall.

From R17,000 once off, or R429 a month plus R1,099 hosting

They log into it

Web app

A tool people log into to get a job done.

It opens in Chrome like any website, with nothing to install. This is what replaces the spreadsheet everyone fights over, the WhatsApp group where jobs go missing and the paper book in the bakkie.

Right for

A solar installer quoting systems, a funeral parlour running policies and premiums, an attorney letting clients follow a transfer, a body corporate collecting levies, scholar transport billing parents per route.

R109,000 once off, or R3,329 a month plus R1,299 hosting

They install it

Mobile app

An icon on the phone that still works with no signal.

Fetched from the Play Store or App Store. Worth it only when you genuinely need the camera, GPS, a fingerprint, push notifications or offline use. Those five things are the entire reason to build one.

Right for

A technician photographing a roof in a basement with no reception, a security company logging guard patrols by GPS, delivery drivers doing proof of delivery, a farm recording harvest out of coverage.

R145,000 once off, or R4,539 a month plus R1,699 hosting

What the monthly actually covers

Not just the build. Everything needed to keep it alive and working, which is the part most quotes leave out.

Running it

  • One .co.za domain, registered and renewed in your name
  • Hosting and storage, no separate hosting bill
  • SSL certificate so the padlock shows
  • Daily backups you can actually restore from
  • Uptime monitoring, we find out before you do

Keeping it safe

  • Security patches as soon as they land
  • Framework and library updates, so it does not rot
  • Mobile app store releases handled every cycle
  • POPIA sensible defaults built in from the start
  • Your data exportable any time you ask

Changing it

  • 3 hours of changes every month, included
  • Support on WhatsApp, not a ticket portal
  • Bugs fixed at no charge, always
  • Bigger new features quoted before we start
  • Unused hours roll over one month
The part other people hide

Paying monthly costs more. Here is exactly how much.

We would rather tell you now than have you work it out later and feel cheated.

The difference, in Rands

Based on what you picked above: R4,500 in cash for the software, or R4,710 spread over 12 months. The difference is R210.

Hosting is not hidden inside it

That R210 is the finance charge and nothing else. Hosting is not hidden inside it. Hosting is a separate R799 a month and it is the same before and after you own it. Spreading the cost adds about 7% over one year, 14% over two and 21% over three, worked out only on what you still owe, so it never adds more than 21% to the price, and it costs you less every time you pay faster or put more down.

You never pay more than the number shown

Your last payment is reduced to clear whatever is left, so the total lands exactly on the figure quoted. No balloon payment, no admin fee, no initiation fee, nothing added later.

The questions everybody asks

Do I really own it at the end?

Yes. Once the total shown has been paid, the software is yours. You get the source code, the database, the documentation and a licence to use and change it however you like, forever. We put that in the agreement before you pay us a cent.

Own it how, exactly? Can another developer take it over?

Yes, and that is the test that matters. You get the source code in a repository in your name, the database, the deployment instructions and a signed assignment of the copyright. South African law requires a copyright assignment to be in writing and signed, so we do that properly rather than just saying the word "own".

Being straight about the edges: the open source frameworks, libraries and fonts underneath stay under their own licences, the same as they would with any developer, and third party services like a payment gateway or a mapping API stay in your own accounts. What you own is everything we wrote for you, and it is built on ordinary mainstream tools so any competent developer can pick it up.

What if I miss a payment in a bad month?

You phone us and we sort it out. Late payments happen in every business and one slow month from a big client is not a reason to switch anything off. There is a grace period written into the agreement, and no penalty interest.

If payments stop altogether we talk first, then pause the plan rather than cancel it, and your data stays exportable the whole time. Nothing gets deleted without written notice and a window for you to take a full copy. Everything you have already paid stays credited to your account, so if you restart later you pick up where you left off.

Who owns my data before then?

You do, from day one. Your customers, your orders, your records, all of it is yours the whole way through. Ask us any time and we will export the lot in a normal format you can open. That is never conditional on you being paid up.

What if I want to stop paying?

You can settle the outstanding balance at any time and own it immediately, with no penalty and no early settlement fee. That figure only ever goes down, and we will tell you what it is whenever you ask.

If you would rather walk away entirely, we talk first. You keep your domain and your data, we help you move, and we stop the hosting. What has been paid stays paid, and what is still owing on the build is what we would need to agree on. We have never had to make that an unpleasant conversation.

Can I just pay cash instead?

Yes, and it is cheaper. Choose Pay once above and you will see the price. After that you only pay a small monthly amount for the domain, hosting, backups and support, because those cost real money every month whether you own the software or not.

What happens if R5 Systems disappears?

Fair question, and you should ask it of anyone, especially a small studio. Promises are easy, so here are the mechanisms instead.

Your domain is registered in your name from day one, not ours, so you keep it whatever happens. You get read access to your own code repository from the first commit, so the code is never somewhere you cannot reach. Your data is exportable on request at any time. And the agreement carries a handover clause: if we cannot carry on, the assignment is triggered and you get everything needed to run it, at no cost and with no balance owing.

Is the domain really included?

One .co.za domain, registered and renewed for as long as you are with us, in your name. If you want a premium domain or a .com that costs more than R1,000 a year, we quote that separately at cost. No markup.

How long does it take to build?

A website is usually two to three weeks. An online shop is three to five weeks. A web app is six to ten weeks depending on how much it has to do. A mobile app is eight to twelve weeks, and the app stores add a week or two of their own for approval. Your monthly only starts once it is live and you are using it.

What if my business changes and I need it different?

That is what the included hours are for, and most small changes fit inside them. Anything bigger gets quoted before we touch it, so you are never surprised by an invoice. This is the main reason people stay on a plan rather than buying outright, because the thing keeps up with the business.

Do you work with businesses outside Gauteng?

Yes. We are fully remote and we have clients in several provinces. Everything happens over WhatsApp, email and video calls, and it works fine. Nobody has ever needed us to drive out.

Are these prices real, or does the quote come back double?

They are real. What changes a quote is scope, not sales tactics. If you tell us you need a five page website and then need fifteen pages and a booking system, the price moves and we will show you exactly why. Nothing gets added quietly.

How exactly is the finance charge worked out?

It is 1.06% a month on the amount you still owe, exactly the way a vehicle or a bond works. There is no initiation fee, no monthly admin fee and no penalty for settling early.

The rate is set so that spreading the cost can never add more than 21% to the price of the software in total. Over one year it works out at about 7%, over two years about 14%, and over three years, which is the longest plan we offer, about 21%. That is a ceiling, not a target, so most quotes come in well under it.

Because it is charged on what is left, it shrinks every month and stops entirely the day you finish. A bigger deposit or a bigger monthly means fewer months and a smaller total. Hosting is not hidden inside it, it is the separate monthly line that stays the same before and after you own it. The last payment is reduced so you land exactly on the total shown.

Why is the plan only for registered businesses?

Because paying over time with a charge for the deferral is regulated in South Africa under the National Credit Act, and the rules are different depending on who is buying. Keeping payment plans to registered businesses, so a Pty Ltd, CC or registered trust, keeps the arrangement clean and straightforward for both of us.

If you trade in your own name, nothing is lost. The pay once price is exactly the same and is the cheaper option anyway. We can also point you at a registered credit provider if you would rather spread the cost.

Want to see it before you decide anything?

Tell us what you are trying to fix. We will build you a working one page version of it, free, so you can see the real thing rather than a promise.
